How to set up and administer enrollment approvals

About Enrollment Approval

When using the Catalog, you can let Learners enroll in a course and choose if they should get enrolled automatically or need manual approval. You can approve enrollments if you're an Admin, Instructor, Team Manager, or Direct Manager.

⚙️ Permission to approve enrollments for different roles is set in Role Permission Settings.

Enrollment settings and Notifications

To enable enrollment approvals, you first need to activate the Catalog in the course:

  • In Course settings, select Catalog in the left menu.

  • Activate Catalog by clicking the toggle switch. Green = ON.

In the Enrollment Notification section, choose Manual or Auto enrollment approval:

  • Manual approval: An Admin, Instructor, Team Manager, or Direct Manager has to approve that a learner can enroll in the course.

  • Auto approval: Learners that want to enroll in the course automatically get enrolled without any action needed from Admin, Instructor, Team Manager, or Direct Manager.

💡 If you have set a maximum number of participants for the course, and the course is full, learners will automatically be added to a waitlist even if you have auto approval.

Enrollment Notifications

With Manual approval, you can also choose if Admin, Instructor, Team Manager, or Direct Manager should get notifications when a new enrollment request is submitted. Click the Email symbol to activate or deactivate notifications for the different roles.

Manually approve enrollment requests

When a Learner has enrolled in a course that is set to Manual enrollment approval a Request will be shown in Studio for an Admin, Instructor, Team Manager, or Direct Manager (depending on what role permission settings you have).

To approve the enrollments requests:

  1. Go to Studio and click on User in the left navigation menu.

  2. Click on Requests in the section Enrollment.

  3. Click on Approve enrollment to add learner to the course.
