How to upload and view external course history – for learners, admins, and managers

About Upload of Course History

Learners can upload their external course history directly to their Course History section in Learnster U. This feature ensures that all completed courses, whether taken within or outside of Learnster, are accurately recorded and easily accessible.

  • Learners: Upload course history in their Course History section.

  • Admins and Managers: Upload course history for learners via their user card.

Examples of use cases:

  • Centralized learning transcripts: Keep Learnster as your single, comprehensive platform where all internal and external training is registered and accounted for, providing a complete overview of each learner's progress.

  • Compliance tracking: For organizations that require employees to log external training hours to maintain professional authorizations, ensuring all necessary qualifications are up-to-date within the platform.

Note: Upload of External Course History is only available on specific pricing plans or as an add-on feature. Please contact your Customer Success Manager if you're interested in this feature.


For learners:

Upload course history (learner)

  • Open Course History in Learnster U (via the top-right user menu).

  • To upload, click the button + Course History.

  • Upload the course information in the upload modal.

  • Click Add Course History.

View uploaded course history (learner)

  • Locate the course in the course history list.

  • Click the description icon to view details about the course.

  • Hover over the course to download the certificate, or remove the course.

  • If needed, download a report in Excel or CSV format (click icon in the top right corner):

ℹ️ There's a system message available named "Learner uploaded external course history" which will notify team managers via email and in-app notification about new uploads. Search for it in System Messages:


For admins:

Upload course history (admins)

  • In Studio, open the learner's user card.

  • In the user card, click the Courses tab.

  • In the Completed section, click the + icon.

  • Upload the course information in the upload modal.

  • Click Add Course History.

  • Click Save Changes on the user card.

View uploaded course history (admins)

  • Locate the course in the list within the user card.

  • Click the description icon to view details about the course.

  • Hover over the course to download the certificate, edit, or remove the course.


For managers:

Upload course history (managers)

  • Go to the team page and the learners tab.

  • Hover over a learner, click the more menu (the three dots), and click Edit.

  • On the learner's user card, go to the Courses tab, and scroll down to Completed.

  • To upload course history, click the button + icon.

  • Upload the course information in the upload modal.

  • Click Add Course History.

  • Click Save Changes on the user card.

View the uploaded course history (managers)

  • Locate the course in the list within the user card.

  • Click the description icon to view details about the course.

  • Hover over the course to download the certificate, edit, or remove the course.

  • If needed, download a report in Excel or CSV format (click icon in the top right corner):

ℹ️ To make sure the team manager has the required access, verify that their permissions are correctly configured in Studio > Settings > Role Permissions. To be able to upload external course history for team members, this should be on:
